GENERAL JOB SUMMARY:

A Program Administrative Assistant designs, develops and establishes key reporting standards for an organization or company. The Program Administrative Assistant processes management reports and performance indicators for management to review concerning certain projects. With the consent of senior management, the Program Administrative Assistant works on overall project planning and formulates reports based on project scheduling and timetables for deliverables. A Program Administrative Assistant must be knowledgeable in all phases of a project management life cycle. The Program Administrative Assistant must be able to use computer applications software such as Microsoft Office suite to track project funding, project control, risk management practices and issues, and project documentation processing and archiving. The Program Administrative Assistant must inspire and foster an environment of cooperation between different departments and co-workers

ESSENTIAL JOB FUNCTIONS:

  • Working with the Managing Director to develop report structures and keep abreast of all reports created by management for project evaluation which determines the efficiency of ongoing projects in the workplace
  • Required to be aware and knowledgeable of all phases and aspects of the project at hand and general project status
  • Coordinates data and information and prepares internal and external reports from various departments and resource sponsors information
  • Provides specified administrative support for all assigned projects as required.
  • Responsible for preparing and presenting reports on the project for upper management, including expense reports, monthly status reports, labor requirements, and project tracking
  • Tracks and reports on progress of the project and the project team
  • Ability to design spreadsheets for specific analytical purpose when requested by upper management
  • Maintain repository of project documentation

Experience and Skills

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Required-

  • Must have excellent Microsoft Excel skills
  • Must be competent in a number of applications, including Microsoft Office suite
  • Excellent organizational and writing skills
  • Must have some understanding of financial reports
  • Ability to interact effectively with peers, program managers and upper management
  • Ability to foster communication among team members
  • Program Administrative Assistant should be an innovator with creative and strategic thinking skills
  • Have the ability to systematically analyze situations

Desired-

  • General knowledge of defense contracting with anything NIWC a plus

 

EDUCATION AND EXPERIENCE:

  • Highschool
  • 2-3 years of project management experience

 

WORK ENVIROMENT / PHYSICAL REQUIREMENTS:

  • Remote work with occasional office requirements
