Job Description

GENERAL JOB SUMMARY:

 To provide assistance to the Contracts Department as well as other management personnel as needed.

 

 ESSENTIAL JOB FUNCTIONS: 

  • Creates, maintains and updates electronic and paper files
  • Assist with preparation of reports and presentations
  • Manage information flow in a timely and accurate manner
  • Manage calendars, and organize meetings and booking of meeting rooms
  • Act as office manager by keeping up with office supply inventory
  • Handling correspondence directed to Contracts team
  • Processes travel and visitor requests  
  • Interacts with employees at all levels.
  • Screen and  direct calls to appropriate  Contracts personnel
  • Sorts and distributes contracts mail

SUPERVISORY RESPONSIBILITY:   

This position has no supervisory responsibilities

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Ability to maintain sensitive and confidential information as required by government standards

Ability to interact effectively with peers and supervisors

Ability to interact appropriately with the public, when necessary

Ability to adhere to workplace rules

 

EDUCATION AND EXPERIENCE:

 High School Diploma or equivalent

2 year post-secondary education in business administration (preferred)

5 years of related experience

Strong knowledge of business vocabulary

Proficient in use of MS Word, Excel, and Power Point

Excellent verbal and written communication skills
