Essential Job Functions:
•Schedule and manage calendars to include meetings, conference rooms, teleconferences, and employee welfare functions
•Conserve executive’s time by reading, researching and routing correspondence, drafting letters and documents; collecting and analyzing information; initiating telecommunications
•Courteously greet visitors, coworkers, internal & external customers, determine their needs and provide assistance and/or direction
•Assist employees and job candidates with business travel coordination
•Process Expense reports in a timely manner and in accordance with accounting department standards and policies
•Arrange and coordinate travel for VP through Concur system
•Prepare business presentations, reports and correspondence utilizing MS Office Suite and other spreadsheet, database, or presentation software
•Perform general office duties such as ordering supplies, maintaining copy and break rooms
•Facilitate meetings, conferences, and events; scheduling, coordinating food & beverage service, running presentations, etc.
•Participate in Employee Moral Committee
•Perform additional assignments as required

•High school diploma or equivalent; College-level coursework desired
•3+ years' experience to include customer service and administrative support
Knowledge, Skills & Abilities:
•Ability to appropriately handle sensitive and confidential information is a must
•Ability to interact positively and professionally with coworkers, internal and external customers
•Demonstrate initiative, discretion and tact in managing email, telephone calls, calendar prioritization & communication of changes and other requests
•Proficient computer skills across multiple applications (Microsoft Office Suite - Word, Excel, PowerPoint, Outlook; Travel & Expense tools; WebEx; SharePoint; Databases)
•Attention to detail and competency with basic accounting support tasks (data entry, basic math, expense reporting, and organization of information)
•Thorough knowledge of modern office practices and procedures and the use of office machines and equipment (telephones, copiers, scanners, fax, etc.)
•Self-motivation to continue learning and the ability to effectively apply learning to new tasks and systems
•Ability to apply common sense understanding, perform and apply research to carry out written or spoken instruction
•Ability to communicate effectively orally and in writing
•Strong orientation to customer service and willingness to provide assistance to others
•Demonstrated ability to plan events, coordinate vendors and facilitate visiting VIPs strongly desired

WORK ENVIRONMENT / PHYSICAL REQUIREMENTS:
It is a professional business office work environment, with a minimal to moderate noise level. While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee occasionally is required to walk and stoop, kneel, crouch and lift. Specific vision abilities required by this job include close vision, depth perception, and ability to adjust focus. Also, duties may require the ability to stand and sit for long periods of time, perform repetitive motion (keyboarding, 10-key, phones) and the ability to lift up to 25 pounds. Ability to drive for short, local tasks.
